Job Description

Our client, a unique provider of IT shared services has an exciting opportunity for a Programme Office Manager to support the global team activities for their Finance ERP programme.

The Maconomy Core Programme has been running for over 2 years now and has developed a Core ERP solution which will have been implemented in 4 countries covering 6,500 users by end Q1 2019.

The Maconomy Core Programme Office Manager will report to the Maconomy Core Global Project Director and is responsible for:

* Co-ordination of reporting input from individual projects (deployment, upgrade etc) and track progress against overall programme plan

* Tracking and reporting issues and risks to the overall programme objectives and timelines

* Tracking of commercial and financial agreements associated with the project and reporting as necessary

* Producing draft stakeholder reporting decks for governance purposes

* Acting as secretary of the Technical Review Board and producing minutes of meetings

* Planning of global resource across the projects / BAU and identification of issues and conflicts

* Organisation and management of programme sharepoint site and controlled document libraries

* Project manage small ad hoc projects as required

The role will assist with organisation and co-ordination of project reporting and all documentation standards and repositories associated with the Maconomy Core project.

Key Responsibilities Include:

· Working with individual projects and workstreams to co-ordinate input into development of integrated plan, agree baseline and maintain version changes

· Work with all parties to ensure RACI for accountabilities remains current and relevant and aligns to commercial documentation for all project workstreams. Incorporation of lessons learnt and changes for future RACI versions

· Maintain programme level risk and issue log

· Ensure risk and issue logs at project level current and integrated to programme level view

· Tracking of commercial documentation. Creation and storage in programme repository

· Booking and setting agenda for Technical Review Board meetings, ensuring they have good attendance and minutes issued in timely manner following meetings

· Planning of Global resource schedules, including tracking of necessary overseas project travel, vacation and other out of office meetings and events for the team

· Development of stakeholder communications relating to global programme as required

· Track time and input of all team members, contractors and 3rd parties against relevant projects

· Management of the programme sharepoint site and other controlled project documentation, including granting access and maintaining currency of users

· Tracking projects that involve 3rd party integrations and ensuring accountabilities are clearly defined

· Project management of small ad hoc projects as required

Skill Requirements:

· Strong communication, presentation and stakeholder management skills

· Good organisational skills, including use of MS Project

· Successful project and programme management experience within a large, complex multi-site/ supplier environment and able to demonstrate a range of concluded projects/ programmes

· A strong background in undertaking Programme Office Management in an organisation of relevant size, complexity and scale, having implemented business change and improvement

· Finance ERP project background, ideally in the Media & Advertising or similar industries

· Confidence to provide clear advice and challenge in difficult situations, able to influence at senior manager level and work under pressure

· Proficiency in the principles, methods, techniques and tools for the effective management of one or more projects and related activities from initiation through to the successful achievement of planned business benefits

· Proven track record in running PMO in complex project environment

· Highly motivated, flexible and adaptable team player with the ability to deliver in a timely and professional manner.
